About the role

This role is crucial in ensuring the CEO’s day-to-day operations run smoothly, enabling them to focus on strategic leadership and institutional growth. We are therefore seeking a highly organised, proactive, and professional Executive Assistant to support the CEO. The ideal candidate will possess exceptional communication and administrative skills, with the ability to manage multiple tasks efficiently.

Hours of work: Part-time (20-22.5 hours per week), days and hours to be discussed
Salary: £30,000 (To be pro-rata’d for 22.5 hours per week)

Key responsibilities

  • Administrative Support
    • Manage the CEO’s calendar, schedule meetings, and coordinate travel arrangements.
    • Handle all correspondence, including emails, phone calls, and written communication.
    • Prepare and edit documents, reports, and presentations for internal and external meetings.
  • Meeting Coordination
    • Organise and attend meetings, prepare agendas, take minutes, and follow up on action items.
    • Coordinate with various departments to ensure timely and accurate dissemination of information.
  • Project Management
    • Assist the CEO in planning and executing special projects.
    • Monitor project timelines, deliverables, and report on progress to ensure objectives are met.
  • Liaison Role
    • Act as the primary point of contact between the CEO and internal/external stakeholders.
    • Foster strong relationships with staff and external partners
  • Confidentiality and Discretion
    • Handle sensitive information with the utmost confidentiality and professionalism.
    • Ensure compliance with institutional policies and procedures in all activities.

Ideal candidate

Qualifications and essential skills

  • Experience in an Executive Assistant role (or similar).
  • Exceptional organisational, multitasking, and time-management skills.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office Suite and familiarity with project management tools.
  • High level of professionalism, integrity, and discretion.
  • Ability to work independently and as part of a team.
